Exhibitors have 3 unloading options when setting up their booth.
IMPORTANT: If you choose to use the loading dock, you will need to complete a Rosen Shingle Creek loading form by Friday, August 30. CLICK HERE to download form. Please keep in mind the 15-minute unloading limit and that GES has control of the docks. If you have heavier items that require assistance or have a 4-wheel cart, you will incur moving fees from GES. Please drop off your items at your booth and then move your car. There is limited vendor parking located near the docks. Otherwise, you will need to park in the parking lot. At the parking gate kiosk, select “CFHLA” and the gate will open. When you leave the parking lot, the gate will automatically open.
Option #1 - Loading Dock
For larger items, exhibitors may utilize the loading dock to drop off items. Transport small items to your booth by hand, or with personally owned 2-wheel carts only. Any 4-wheel carts or larger are subject to violation of Freight Handling Jurisdiction. All personally owned vehicles (POV) and individuals wishing to gain access to the docks must check in with the GES dock foreman. All exhibitors checking in at the loading docks will be provided with a “Loading Dock Pass,” which should be displayed in your car’s windshield. The registered booth name, number, and identification will be required. This restriction is for safety purposes and to reduce damage to entranceways and common areas of the facility. NOTE: The dock is for unloading/loading only. Please drop off your items in your booth, return to your car, and park in the parking garage before starting to set up your booth (15 minutes maximum).
- If your items are to be delivered/picked up in a box truck that will need to utilize the freight loading dock space, you will need to work with GES to schedule an unloading/loading time. Large items such as vending machines or heavy equipment must be unloaded/loaded by GES and are subject to a moving fee.
- GES has the responsibility of receiving and handling all exhibit materials and empty crates. It is their responsibility to manage docks and schedule vehicles for the smooth and efficient move-in and move-out of the exhibition. GES will not be responsible, however, for any materials they do not handle. GES will have COMPLETE control of the loading docks at all times. If you wish to unload or load, you must report to the GES Service Center located on the tradeshow floor. Do not proceed to the docks until you are authorized to do so.
- IMPORTANT: For any golf carts or battery-powered machines that you wish to display in your booth, the battery must be removed before entering the exhibit hall. Batteries must be stored away from the facility.
Option #2 - Advanced Shipping
Advance shipping to GES warehouse (information below) is recommended. Pricing is as follows:
- Standard – 25lbs. or more: $1.62 per pound
- Shipped to Advance Warehouse within posted date range (receiving window on important dates and times)
- Shipped Direct-to-Show within posted Move-in, move-out or on-target dates
- Non-Standard – 25lbs. or more: $2.03 per pound
- Shipped to Advance Warehouse outside posted date range (AKA late shipments)
- Shipped Direct-to-Show outside posted Move-in, move-out or off-target dates
- Flat Rate – Less than 25 lbs. (Arrives anytime): $40.50
- Shipped to the Advance Warehouse or Direct-to-Show
If you intend to ship your booth in advance of arrival, you must ship your booth (boxes, crates, etc.) to GES. Please mark all materials shipped as follows: (Shipments must arrive on or between business days: Tuesday, June 30, 2026 and Wednesday, July 29, 2026) Warehouse receiving hours are: Monday – Friday, 7:30am – 4:00pm; Closed 12:00pm – 1:00pm;

Option #3 - Loading from Parking Lot
Exhibitors may park in the Rosen Shingle Creek parking lot and carry small items into the exhibitor hall. Convention entrance doors located near the parking lot give direct access to the Sebastian Ballroom. Transport small items to your booth by hand, or with personally owned 2-wheel carts only. Any 4-wheel carts or larger are subject to violation of Freight Handling Jurisdiction.
FREQUENTLY ASKED QUESTIONS
Where and when do I pick up my badges?
Exhibitors may pick up badges in the Sebastian Ballroom foyer during set-up. At least one individual from your team must check-in with CFHLA.
Can I get a new badge printed or purchase a 4th badge onsite?
Yes, during set-up, CFHLA can print a new badge and will be taking payments for 4th badges.
What is included in my booth?
(1) skirted table, (2) chairs, waste basket, ID signage with booth number, (3) exhibitor badges.
The Sebastian Ballroom is carpeted.
If someone else is setting up my booth and I will only be there for the show, how do I receive my badges?
If the person setting up your booth will not be attending the tradeshow, we recommend that they DO NOT pick up your exhibitor badges during setup. In these situations, badges are often left inside the booth, preventing your team from accessing the booth when you arrive on the day of the event. Instead, we recommend picking up your badges on the day of the tradeshow at the registration counter, located near the entrance to the tradeshow floor.
If someone else is setting up my booth, but will not be there for the show, do they need a badge?
No, badges do not need to be worn during set up or breakdown after the show.
Do I have electricity in my booth?
No, electricity is not included in your registration fee. It is a separate charge.
How do I purchase electricity?

Will there be food available for exhibitors?
Our Ultimate Food Competition will be conducted on the tradeshow floor. There will be 6 hotels participating in the competition. All food is complimentary to both attendees and exhibitors. Otherwise, there is a store located in the hotel lobby that sells food.
Will there be WiFi?
Yes, complimentary WiFi is provided on the day-of-show by Millennium Technology Group.

What time can I start breaking down my booth?
You may not start dismantling your booth decorations until the tradeshow floor closes at 3:00 pm.
If I am conducting a prize drawing in my booth, can I make an announcement from the stage at the end of the day?
No, you cannot make any announcements from the stage. While we highly encourage you to have something interactive in your booth, including a prize drawing, you will need to reach out to the winner directly.
How do I vote for "Best Decorated Exhibitor Booth"?
Voting for Best Decorated Exhibitor Booth and Ultimate Chef Challenge People's Choice is available. During exhibitor check-in, you will receive a tent with a QR code that you can display in your booth to encourage attendees to vote for YOU in the "Best Decorated Booth" award. Additionally, there will be a QR code to vote for the Ultimate Chef Challenge People's Choice.
